Microsoft Word: How to print double-sided documents

Sometimes you will need to print two-sided books or want to cut down on paper. Microsoft Word can be printed double-sided on Windows or Mac, regardless of whether it has a duplexer.
A duplex printer can print on both sides quickly and easily. But if you have a printer that only supports printing on one side, you’ll need to be close enough to the printer to flip the paper when it’s time. Let’s walk through both options in Word on Windows and Mac.

Windows: Double-Sided Word Print

Double-sided Windows printing is easy if you have a Word document that supports it. You can also use the manual way.

Duplex Printing

Open your Word document, select the File tab, and then choose “Print.”
If you need to, choose the Printer from the top. Below Settings, open the second drop-down box and pick one of the “Print on Both Sides” options. While the first option flips pages at the long edges, the second flips the pages at the short ends.

Make any other changes you’d like and click “Print” when you’re ready.
If you don’t see the Print on Both Sides options, then your printer does not support duplex printing. You can manually print two-sided by following the steps below.

Make double-sided copies manually

Printing on only one side can be done with a printer. You could print some pages and flip them, then print the remainder. This is possible with Word on Windows.

With your Word document open, select the File tab and choose “Print.”
In the second drop-down box below Settings, pick “Manually Print on Both Sides.” Using this option, Word will prompt you when it’s time to flip the pages over in your printer.

Alternatively, use the first drop-down box under Settings and pick either “Only Print Odd Pages” or “Only Print Even Pages.” Make the other adjustments needed and click “Print.”

Flip the pages and insert them again after the selected set of pages has been printed. You may need to rotate pages depending on the printer. For more information, consult your printer manual.
Go back to Word and select Settings from the dropdown menu. Select the odd/even set and then print.

Word on Mac allows you to print double-sided documents

Word Mac has the same printing options as Windows but you will find some subtle differences.

Duplex Printing

Open your Word document and select File > Print from the menu bar. Select your Printer and Presets in the popup window. In the next drop-down box, pick “Layout.”
The bottom section will allow you to choose between Long- or Small-Edge Binding. You can also select Two-Sided depending on whether you need to flip the pages either on one side or the other. Make any other adjustments needed and click “Print” when you’re ready.

The Two-Sided option is not available on your printer. This means that duplex printing does not work. The next section explains how to still print on both sides.

Make double-sided copies manually

If you don’t have a duplex printer, you can manually print on both sides in Word on Mac. As with Windows, you can either print odd or even pages and flip them over before printing the next set.

With your Word document open, select File > Print from the menu bar.
If necessary, you can select your printer and presets in the popup window. In the next drop-down box, pick “Microsoft Word.”
Click Print and mark the appropriate page. Make any other adjustments you like and click “Print” when you’re ready.

After your printer has printed the page set you have selected, flip them over and insert them back into the paper feed. You may need to rotate pages depending on the printer. For more information, consult your printer manual.
Return to your Word document, select File > Print > Microsoft Word, and pick the other set of either Odd or Even pages. Click “Print.”

You have the option to choose whether or not your printer can support duplex printing if you have Word documents that you wish to print on both ends.
